Privacy Policy - Browser Extension

1. Scope

This Privacy Policy applies to the Vetnio browser extension, which facilitates the automatic insertion of clinical notes into a veterinary Practice Management Information System ("PIMS") by retrieving those notes from the Vetnio application programming interface ("Vetnio API").

This policy should be read in conjunction with Vetnio's main Privacy Policy, which covers all aspects of data handling in the Vetnio platform. The browser extension follows the same GDPR-compliant practices and does not introduce any additional data storage beyond what is covered in the main policy.

2. Information We Collect

The Extension itself only collects and processes the following information, all of which is handled in accordance with GDPR and Vetnio's main privacy policy:

  • User Email Address: We collect the email address of the user for authentication and identification purposes within the Extension.
  • Tenant ID: We collect and store the tenant ID from the PIMS to ensure that clinical notes are properly routed to the correct account and PIMS instance. For supported PIMS systems, this tenant ID may also be used to authenticate and sign in users to Vetnio.
  • Clinical Notes: The Extension fetches clinical notes from the Vetnio API (these notes may contain personal or sensitive data related to clients or patients). This data is transferred through the Extension but is not permanently stored by us outside of the immediate, necessary process to insert notes into the PIMS.

The Extension does not introduce any additional data storage beyond what is already covered by Vetnio's main privacy policy. All data handling, including access logs and other operational data, follows the same GDPR-compliant practices detailed in Vetnio's main privacy policy.

3. How We Use Your Information

  • To Authenticate Users and Provide the Service: We use your email address and tenant ID to confirm your identity and ensure the Extension can properly connect to the correct PIMS instance. For supported PIMS systems, we may also use the tenant ID to authenticate and sign you in to Vetnio.
  • To Transfer Clinical Notes: The Extension fetches and inserts clinical notes from the Vetnio API into the PIMS. We only perform this action to provide the functionality you requested.
  • Troubleshooting and Support: We may use aggregated or de-identified usage data (if collected) to troubleshoot errors, improve the Extension, and provide technical support.

4. Data Storage and Security

Storage:

  • The Extension does not store or retain clinical notes outside of the brief moment required to transfer them from the Vetnio API to the PIMS.
  • We store minimal user data (email address and tenant ID) as needed for authentication and configuration.
  • Any data processing or storage related to your use of the Extension follows the same GDPR-compliant practices as outlined in Vetnio's main privacy policy.

Security Measures:

  • We implement reasonable and appropriate technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction.
  • All data transferred between the Extension and the Vetnio API is encrypted in transit using HTTPS protocols.

5. Data Sharing and Disclosure

  • We do not sell, rent, or lease your personal information to third parties.
  • We may share your personal information if required by law or valid legal process, or to protect the rights, property, or safety of our organization, our users, or others.

6. Third-Party Services

The Extension interacts with the Vetnio API solely for the purpose of fetching clinical notes. Vetnio's use of your data is governed by its privacy policy.

The Extension also communicates with the PIMS into which notes are inserted. Each PIMS provider has its own terms and privacy policy that govern how it handles personal or sensitive information. We have no control over and take no responsibility for how PIMS providers collect, use, or handle any information that is transmitted to their systems. We encourage you to review the privacy policy of your PIMS provider.

7. International Data Transfers

Depending on your location and the location of our servers or service providers, your personal information may be transferred to and stored in a country other than your own. We will take steps to ensure that your data receives an adequate level of protection in the jurisdictions in which it is processed.

8. Your Rights and Choices

  • Access and Correction: You may request access to or correction of the personal information we hold about you (e.g., your email address).
  • Deletion: You may request deletion of your personal information. We will honor requests unless we need to retain that information for legitimate legal or business purposes.
  • Withdrawal of Consent: If you choose to uninstall or stop using the Extension, we will no longer process your personal information (other than retaining minimal data required for record-keeping as permitted or required by law).

9. Changes to This Privacy Policy

We may update or modify this Privacy Policy at any time. If we make any material changes, we will provide a prominent notice (e.g., by email or through the Extension) and update the Effective Date above. Your continued use of the Extension after the Effective Date constitutes your acceptance of the updated Privacy Policy.
